Project Background

BSI Global Logistics recently supported a Chinese scientific instrument manufacturer shipping a high-value Atomic Force Microscope (AFM) from Qingdao, China, to a designated exhibition receiving location in Liverpool, UK.

The equipment was being shipped for the 21st International Microscopy Congress (IMC21 2026), held in Liverpool from 31 August to 4 September 2026.

The project required more than a standard door-to-door shipment. As a sensitive precision research instrument, the AFM required careful handling throughout transportation, while the exhibition created a strict delivery deadline.

The customer needed a logistics solution that could balance cargo safety, transport cost and delivery reliability.

Key Shipping Challenges

1. Strict Handling Requirements for Precision Equipment

At the beginning of the project, the manufacturer specified strict requirements covering shock, magnetic exposure, tilting, pressure and handling conditions.

Following all of these requirements through highly specialized transportation could significantly reduce available transport options and increase overall logistics costs.

BSI therefore reviewed the requirements against the actual cargo characteristics, packaging and transportation process to identify the risks that genuinely needed to be controlled.

The customer wanted to protect the instrument throughout the journey without unnecessarily increasing the logistics budget.

Rather than simply adding expensive special-handling services, BSI focused on improving the cargo's protection at the packaging stage and allocating specialized resources to the transportation steps where they could provide the most value.

3. A Strict Exhibition Delivery Deadline

The equipment needed to arrive before the exhibition opened.

The planned delivery also fell close to the UK Summer Bank Holiday on 31 August, which created a narrower operational window for import handling, airport collection and final delivery.

For exhibition cargo, arriving safely is only part of the requirement. The shipment must arrive on time, with enough time remaining for the customer to prepare for the event.

1. Improving Packaging Before Increasing Transport Complexity

After reviewing the manufacturer's initial requirements, the BSI team assessed the AFM's shock protection, positioning, handling and air transportation conditions.

Instead of immediately choosing a high-cost specialized transportation solution, BSI recommended first improving the instrument's packaging protection.

Following BSI's transportation and packaging recommendations, the manufacturer further strengthened the internal and external packaging.

This provided better protection for the instrument under normal transportation conditions and created greater flexibility when designing the subsequent logistics solution.

2. Translating Technical Requirements into Practical Handling Instructions

After the packaging improvements, BSI and the customer reconfirmed the final transportation requirements.

The key operational instructions were clearly defined as:

Fragile handling + Correct orientation + No rolling + No overturning + No rough handling

By translating technical transportation requirements into clear operational instructions, BSI was able to make the requirements easier for logistics teams and handling personnel to execute consistently.

3. Dedicated Trucking at Both Ends

BSI arranged dedicated trucking for both the China pickup and UK final delivery.

This reduced unnecessary inland transfers and additional handling, helping minimize the risk of collision, overturning or improper handling during the road transportation stages.

4. Direct Air Freight

Considering the sensitivity of the equipment and the exhibition deadline, the international air freight segment was arranged using a direct flight solution. supported by BSI's China to UK air freight services.
